Twenty-first Annual WAIS Workshop
September 24-27, 2014

The 2014 WAIS Workshop will be held about an hour's drive from San Diego, CA, at Camp Cedar Glen in Julian, CA. This multidisciplinary Earth system science workshop will focus on the distinctive glaciological, geological, oceanographic, and climatic aspects of the West Antarctic Ice Sheet. This year's host is Helen Fricker of University of California San Diego; Ted Scambos and Betsy Sheffield of University of Colorado are helping as well.

The meeting begins with an Icebreaker on Wednesday evening, September 24. Sessions are organized by topic, with keynote speakers for some sessions, followed by contributed talks and concluding with a panel discussion by the speakers. Poster sessions will be held separately. We anticipate about 40 talks. The meeting adjourns after lunch on Saturday, September 27.

Registration

Registration includes shared room lodging, meals from Wednesday dinner to Saturday lunch, snacks and coffee breaks. (Note that you will need to bring your own linens. It is a summer camp facility, after all!)

Registration fees:
$250 for full registration (meals and lodging)
$200 for students (meals and lodging)
$150 for locals (meals only, lodging not included)
Optional: $30 for a WAIS Workshop souvenir sleeping bag.

Agenda

The agenda is organized as a series of sessions.

  • Changes in WAIS from observations (The Times They are a-Changin')
  • Ice-ocean interaction (Surfin' USA)
    • Amundsen Sea (West Coast Blues)
    • everywhere else (Promised Land)
  • Modeling of ice and polar ocean (California Dreamin')
  • Sea ice (I Get Around)
  • Climate and accumulation (It Never Rains in California)
  • Marine ice sheet instability (Free Fallin')

Following each set of oral presentations, a panel (the session's speakers) and the moderator will lead an open discussion about the general theme, and examine what the significance of new insights presented in the talks is for the WAIS system. This open, engaged discussion has been a very positive aspect of WAIS.

WAIS will have about 40 talks and about 40 posters. There will be an opportunity to give a very brief overview of a poster topic to the audience just prior to the poster sessions. Posters receive a great deal of attention at WAIS.

Guidelines for Abstracts and Presentations

Abstract format:

  • We ask that you follow the fonts and sizing found in the abstract template so that the abstracts have the same style. Use the abstract uploading tool to submit your abstract. Note that you will need to create an account on our system to upload your abstract -- and you can modify the abstract as needed once you've submitted it. Download the Abstract Template for the details and for the link to the uploading tool. This tool is unrelated to the software used for meeting registration and payment.

Talk guidelines:

  • Talks are 15 minutes, which includes time to switch presenters. We have a full meeting so please be mindful of your time and courteous to the next presenter. A discussion period concludes each session.
  • All presentation files will be loaded on one central laptop to expedite the transition between presenters. We request you provide us with your presentation the day prior to your assigned time.
  • Powerpoint or PDF files are preferred.
  • After the conference, presentations will be posted with the agenda on the WAIS Workshop site. If you prefer we don't publish your presentation, e-mail Betsy at: waisworkshop@nsidc.org.

Poster guidelines:

  • Posters will remain on display through the duration of the meeting. You are your poster’s keeper – please remember to remove it yourself at the end of the workshop.
  • Poster size is a maximum of 48” H x 48” W (updated size!), limited by the size of the poster boards at the venue. Feel free to have your poster at the best size to suit your work. For reference, posters at AGU are often 36” H x 48” W.

Lodging at Camp Cedar Glen

Lodging at Camp Cedar Glen is in comfortable cabins and the workshop will be held in a large meeting room. Staying on site allows interaction and collaboration among the meeting participants in an informal setting. The registration fee of $250 includes lodging for three nights (Wednesday, Thursday, and Friday), and meals from Thursday breakfast through lunch on Saturday. Students have a reduced rate of $200. Wednesday night will be a pizza and beer dinner with contributions requested. We encourage participants to stay at the camp. Should you prefer a hotel, your registration fee is $150. Hotel rooms will be at your own cost and are not part of the registration fee.

NOTE: Camp Cedar Glen does NOT provide linens. Please bring your own! Suggested items include a twin-sized sheets, pillow, towel and washcloth. Julian is in the mountains can get quite cool in the evenings in September (down to the mid 50's) so you will also need a sleeping bag or blankets. You can either buy a souvenir WAIS sleeping bag for $30 or bring your own. (We have investigated providing linens for those staying at the Camp but were unable to find a suitable option. We hope you understand and can bring your own linens.) The sleeping bag is by Coleman; see specs here.

We will post cabin assignments on the web site prior to the workshop.

Hotel Accommodations

We recommend the Julian Lodge for accommodations if you prefer to stay off-site. Hotel rooms are at your own cost..

Doubles are $105 per night on Wednesday and Thursday, $150 on Friday; Queens are $85 Wednesday and Thursday and $120 on Friday. The phone number for reservations is 1-800-542-1420.

Meals

A group dinner of pizza and beer is offered on Wednesday evening and we are accepting donations to cover the cost of the beer. Registration fee includes dinner on Wednesday, three meals on Thursday and Friday, and breakfast and lunch on Saturday. Please indicate any dietary restrictions you may have on the registration form and the camp will do their best to accommodate.

Air Travel and Ground Transportation

The nearest airport is San Diego International Airport. We are pleased to offer you van transportation between San Diego International Airport and Camp Cedar Glen in Julian, CA. Transit Van Shuttle (in Ramona, CA) is available to transport groups of participants in their vans. Please contact them directly to book shuttle service: email at transitvanshuttle103@gmail.com or by phone at (760) 789-7252. Rates are $80 ROUND TRIP per person. Transit Van Shuttle will coordinate everyone's arrival and departure needs to best fit four or more in a van. They prefer to bundle people into vans to minimize the number of trips and please note that you may have an hour wait after arriving at the airport.

Student Support

The WAIS group supports early career scientists, encouraging interaction between early-career and established Antarctic researchers. To this end, our budget includes airfare support for a limited number of students. We ask that interested students propose a talk on their recent research for consideration for the funding. Please submit a cover letter (by email to waisworkshop@nsidc.org) requesting travel support and providing a short justification. We estimate that we have travel support for 15 students or recent post-doctoral researchers (<3 years since degree) total, US and international. Please highlight the relevance of your abstract to West Antarctica, ice sheet stability, ice-ocean or ice-biology interactions, or polar climate change; and any other relevant information regarding your funding. Include your preferred travel itinerary. We will aim to inform students of the decision on their support in mid- to late August to allow time to purchase tickets.
